We do not sell your personal information.
1. Information We Collect
Information you give us. We collect the information you choose to submit, including:
Bid requests: your name, company, email address, phone number, project type, target date, project location, square footage, and any notes you add.
Vendor applications: business and contact details, markets served, services offered, pricing, insurance certificates, a completed W-9 (which includes a taxpayer identification number), and your signature.
Communications: emails, text messages, phone calls, chat messages, and anything else you send us.
Information collected automatically. When you visit our website, we and our service providers collect standard technical information, such as your IP address, browser and device type, pages viewed, referring website, and the date and time of your visit. If you call a phone number on our site, call tracking may log the number you called from and the time and length of the call. If you use website chat, we keep the chat conversation.
2. How We Use Information
We use the information we collect to:
- respond to bid requests and prepare and deliver proposals;
- coordinate, schedule, and manage cleaning projects;
- review vendor applications, verify insurance and tax documents, and manage our vendor network;
- communicate with you by email, phone, and text message about your request, bids, scheduling, and account;
- send marketing emails and text messages, but only if you have opted in;
- operate, secure, measure, and improve our website and advertising; and
- comply with legal, tax, and insurance obligations.
3. Text Messaging (SMS)
If you check a consent box on one of our forms, you agree to receive text messages from Capstone Facility Cleaning at the number you provided. Consent to receive text messages is optional and is not a condition of requesting a bid or purchasing any service.
Non-marketing messages cover your request, bids, scheduling, and account updates.
Marketing messages are sent only if you separately opt in to them.
Message frequency varies. Message and data rates may apply.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. This excludes sharing with the service providers that deliver our text messages on our behalf.
4. How We Share Information
We do not sell or rent your personal information. We share it only in these situations:
Independent cleaning companies. Capstone is a referral agency. To prepare a bid and complete your project, we share the project details and the contact information needed for the job with the independent cleaning companies in our network. They may use it only for your project.
Service providers. Companies that help us run our business, such as our customer relationship and website platform, online form provider, email and text messaging providers, call tracking and chat tools, analytics, and accounting software. They may use your information only to provide services to us.
Clients and general contractors. If you are a vendor, we may share your business name, insurance certificates, and qualifications with the client, property owner, or general contractor for a project you are being considered for.
Legal and safety reasons. When required by law, subpoena, or court order, or when needed to protect our rights, our clients, our vendors, or the public.
Business transfers. If our business is sold, merged, or reorganized, information may transfer to the new owner, who must continue to honor this policy.
5. Cookies, Analytics, and Advertising
Our website uses cookies and similar technologies to keep the site working, understand how visitors use it, and measure our advertising.
Analytics. We use Google Analytics to understand website traffic. You can opt out with the Google Analytics opt-out browser add-on.
Advertising pixels. We use advertising tools from companies such as Google and Meta. These tools may collect information about your visit to our site so that we can measure our ads and show our ads to people who have visited us. 6. Your Choices
Text messages: reply STOP to any message to opt out.
Marketing emails: click the unsubscribe link in any marketing email, or email us.
Access, correction, and deletion: email contact@capstonefacilitycleaning.com to ask what information we hold about you, to correct it, or to ask us to delete it. We will respond within a reasonable time and may need to verify your identity. We may keep information we are required to keep for legal, tax, or insurance reasons.
7. How Long We Keep Information
We keep information for as long as needed for the purposes described in this policy, including to complete projects, maintain business, tax, and insurance records, resolve disputes, and meet legal requirements. When we no longer need it, we delete it or make it anonymous.
8. Security
We use reasonable administrative and technical safeguards to protect your information, and we limit access to people and service providers who need it. No website, email, or storage system is completely secure, so we cannot guarantee absolute security. Please do not send sensitive documents, such as a W-9, by text message.
9. Children’s Privacy
Our website and services are for businesses and adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has given us personal information, contact us and we will delete it.
10. State Privacy Rights
Depending on where you live, state law may give you additional rights, such as the right to access, correct, or delete your personal information or to opt out of certain uses. We honor requests as described in Section 6 regardless of where you live. We will not treat you differently for making a request.
11. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will post the updated version on this page and change the effective date at the top. Changes apply from the date they are posted.
